QUESTIONS AND COMMENTS ON PURCHASING A COMPUTER SYSTEM
QUESTIONS AND COMMENTS.  WHAT DO YOU PLAN TO DO WITH THE COMPUTER
SYSTEM? Computers are used for many applications from the small hand
calculator to the multi-million dollar systems.  Consider those for
under $10,000. The smaller HOME COMPUTERS start at about $300 to $1000.
The smaller OFFICE SYSTEMS are from about $1000 to $10,000.  What you
want to do and how fast you need to do it determines the type system
for you.
WILL YOU TAKE THE TIME REQUIRED TO LEARN TO OPERATE THE SYSTEM? The
choices are that YOU learn to operate it or that you hire someone or
have someone trained to operate it. (Consider the value of an expensive
typewriter in an office where no one types.) A secretary can type and
can be taught to operate the computer systems sold today once the
programs and instructions are developed.
DOES THE SOFTWARE (programs that tell the computer how to operate)
ALREADY EXIST TO DO WHAT YOU WANT DONE? IF NOT, WILL YOU WRITE NEW
SOFTWARE OR PAY SOMEONE ELSE TO WRITE NEW PROGRAMS FOR YOUR
APPLICATIONS? Very few of us will ever be able to write new programs.
Paying someone to write a new program is expensive plus you have to be
able to define exactly what you want done in detail before it can be
written. This is not a practical solution. There are large numbers of
programs available at reasonable prices (and many free programs) for
the more popular computers.  HOWEVER, you have to develop these to fit
your applications.  (Back to that typewriter- you have to tell it what
to type, how to organize the letter.)
HOW DO YOU WANT TO SAVE YOUR INFORMATION?  Computers operate with
internal memory which is generally erased when you turn it off or want
to use another program.  You need to SAVE your work with another part
of the computer. Most systems have a DISK DRIVE which accepts "floppy"
disks (3.5 inch or 5.25 inch magnetic media shaped like a record). Your
programs are generally stored on these and your data or BACKUP
INFORMATION can be stored in this manner. For large amounts of storage,
A HARD DISK can be used.  The floppy disk system is less expensive but
the hard disk is much faster and holds a tremendous amount of data.
DO YOU NEED A "HARD COPY" (printout) OF YOUR DATA? IF SO, WHAT QUALITY
PRINT DO YOU REQUIRE AND HOW FAST MUST IT BE PRINTED? Printers for the
most popular systems cost from about $200 to $3,000 depending on the
answers to these questions.
DO YOU WANT TO COMMUNICATE WITH LARGER SYSTEMS/SERVICES?  Many smaller
computers can be used with a MODEM (allows telephone connection) to act
like a terminal for a larger computer or to communicate with large
networks like COMPUSERVE, PRODIGY, and DOW JONES SERVICES. This also
allows you to join a "bulletin board" and get lots of FREE programs.
EVEN THE SMALLEST BUSINESS CAN JUSTIFY A COMPUTER SYSTEM NOW! Prices
for HARDWARE and SOFTWARE are low enough that any successful business
can benefit by owning a computer. Where computers were used in the past
to do PAYROLL, ACCOUNTING, and INVENTORY CONTROL; they can now be used
by the SALES departments and individual salespeople to manage their
PROSPECT files and CUSTOMER files to increase sales.

TO ACCOMPLISH MUCH MORE IN LESS TIME THAN ANY MANUAL SYSTEM.
SECOND-COMPUTER HARDWARE COSTS ARE REACHING A POINT THAT ANY SUCCESSFUL
SALESPERSON WILL SOON BE ABLE TO JUSTIFY THE COST WITH THE GAINS.
THIRD- SUCCESSFUL SALESPEOPLE CAN MAKE MORE MONEY WITH TIME SPENT IN
SELLING THEIR PRODUCT THAN THEY CAN SPENDING THEIR TIME LEARNING TO
CREATE A SOFTWARE SYSTEM TO SUIT THEIR NEEDS.  IF SUITABLE SOFTWARE
EXISTS THEY WOULD PROBABLY COME OUT AHEAD BY BUYING THE SOFTWARE FROM
SOMEONE ELSE.  IN THE NEXT FEW MINUTES I WANT TO SHOW YOU SOME SOFTWARE
THAT MAY BE SUITABLE TO YOUR NEEDS. I KNOW THAT SOME OF YOU HAVE ACCESS
TO COMPUTER SYSTEMS AND MAY BE QUITE FAMILIAR WITH THE TYPES OF
SOFTWARE I WILL DISCUSS. PLEASE TRY TO LOOK AT THIS FROM THE POINT OF A
SALESPERSON WITH NO COMPUTER EXPERIENCE.

                          INDEX HELP INSTRUCTIONS
An INDEX provides a quick way to locate informantion or organize information
for reports. There are two types of indexes available: AUTOMATIC & DEMAND.
Two automatic indexes are available and ten demand indexes (all may not be
needed). INDEX MAINTENANCE creates and revises indexes and is used for doing
inquiries: organizing reports, forms and labels: and doing lookups in process
operations. Many of the MENU selections take advantage of indexes.
IMPORTANT NOTE: IF YOU ARE REBUILDING AN INDEX AND STOP IN THE MIDDLE OF
THE PROCESS, THE INDEXES WILL BE DELETED AND MUST BE CREATED AGAIN FOR THE
MENUS TO WORK.  Input the new data into the file and use INDEX MAINTENANCE to
create new indexes.
                           GENERAL COMPUTER COMMENTS
     DOS  gives you the ability to separate programs and data
     files into sub-directories.  Sub-directories can be thought of as
     completely separate disk storage areas organized into a tree structures.
     An example of a directory structure is:

     The root directory is the top directory in the tree structure.  It is
     created when you format the diskette or fixed disk.  Every diskette and
     fixed disk has a root directory.
     The root directory can hold a limited number of files.  For example,
     the maximum number of files in the root directory on a double-sided
     diskette is 112.  The fixed disk holds more, but the total number is still
     limited.  This directory also contains the names of any sub-directories
     that are directly connected.
     All sub-directories (any directory other than the root) are actually
     files, and are not restricted by size.  A sub-directory can have any
     number of files and sub-directories, limited only by the amount of space
     on the diskette or fixed disk.
  Use of Sub-Directories
     Because files with identical names can be used by different applications,
     it is a good practice to put each application into its own sub-directory.
     This helps avoid any conflict with program file names or data file names
     Another good practice, if the program permits, is to separate data files
     from the actual program.  This enables you to quickly identify the data
     file activity.  This is especially useful with word processing and
     spreadsheet programs.  It is also a good approach for maintaining backup
     copies of data files, and maintaining data files for different users.
  Autoexec File
     Almost every application program diskette contains a file named
     AUTOEXEC.BAT.  When you start or restart your computer, DOS looks for the
     AUTOEXEC.BAT file in the root directory.  When the AUTOEXEC.BAT file is
     found, DOS automatically executes it.  This enables application programs
     to start automatically when you power-on your computer.
     For each application program, the AUTOEXEC.BAT file contains unique
     commands that are required to properly start the application.
     It is a good practice to separate your applications into different
     sub-directories to prevent writing over the AUTOEXEC.BAT file every
     time you put a new application on your fixed disk.







     There are several ways to select a menu option:
          o  Use the Cursor Up [ ] and the Cursor Down [ ] keys to high-light
             the option that you want to select.  Then, press the Enter [<ÄÙ]
             key to run the option
          o  Use the row of numbered keys at the top of the keyboard and press
             the number of the option you want to run.
     Helped:  On-line Help text.  Press the [F10] key to request Help text.
              While the Help text is read from the disk, a message asking
              you to wait is displayed.  After the Help text is read, the first
              page of the Help text is displayed.
     A menu is a set of related options.  For example, a word processing menu
     might contain a couple of word processors, a spelling checker, and an
     option to copy files between diskettes or sub-directories.  Such a menu
     might have the title "Word Processing Menu."
  Edit Keys
     In order to use your computer efficiently, become familiar with the
     Personal Computer keyboard.  You will always enter text or commands at
     the cursor position on your screen.  The cursor is a small blinking square
     of light or a line that appears on the screen to let you know your exact
     location on the screen.
     There is a description of the purpose of each key on the keyboard in
     the Personal Computer "Guide to Operations" book.  However,
     when you run some special programs, several keys work differently.
     The following pages describe the keys that work in a special way for
     these programs.

                    inserted at the cursor position.  When you press this key a
                    second time, the character insert mode is set to off.

     ³Del³          Delete character: deletes the character at the cursor

     ³Ctrl³ ³End³   Erase to end of line: when these keys are pressed at the
     ÀÄÄÄÄÙ ÀÄÄÄÙ   same time, all of the characters from the current cursor
                    position to the end of the line are erased.

     ³<ÄÙ³          Enter: sends your command, answer, or text entry to the
     ÀÄÄÄÙ          computer for processing.

     ³ ³            Shift keys: if you press another key while holding down
     ÀÄÙ            either of the Shift keys, the screen displays capital
                    letters or the top character on the key.
     ÚÄÄÄÄ¿
     ³Caps³         Caps Lock (on/off): after pressing this key, all letters
     ³Lock³         you type will be in capitals with no need to press the
     ÀÄÄÄÄÙ         Shift key.  Pressing this key again sets the capital lock
                    mode to off.
     ÚÄÄÄ¿
     ³Esc³          Escape: stops the current command or cancels the current
     ÀÄÄÄÙ          entry.  It also returns the screen to the previous menu.

     ³³ ij          Tab: moves the cursor five characters to the right or left.
     ³Ä ³³          Press the Shift key with the tab key to move the cursor to
     ÀÄÄÄÙ          the left.

     ³ ³            Cursor Up: used to select the previous option on the same
     ÀÄÙ            menu screen.
     ÚÄ¿
     ³ ³            Cursor Down:  used to select the next option on the same
     ÀÄÙ            menu screen.

     ³ ij           Cursor Left: moves the cursor left one space on the screen

     ³ Äij          Backspace: moves the cursor one space to the left and

  Information Messages
     One type of message that you may see is an information message.  This
     message tells you that something you are trying to do cannot be done.  A
     good example of an information message is a beep. You will hear a beep
     whenever you try to use a key incorrectly.  For example, if you press the
     [PgUp] key, and you are currently looking at page 1, the computer sounds
     the beep to let you know that there are no previous pages.
     A detailed description of information messages is presented on the
     following pages. This will help if you need more information than
     is displayed on the screen.
